Client Meeting Feedbacks

This morning, we had a client meeting with Jane and managed to present our paper prototype (see Day 6’s Dailies) and discuss various aspects of our solution. Here are the key points that we learned from the meeting:

Stakeholder Map Feedback:

We were concerned about the involvement of the Board of Directors and the Funding Agencies and their expectation regarding our solution since the key stakeholders we built our solution around were only the staff, geocaching community (youth) and passers-by who don’t know about the Annexe Communities. Jane highlighted that they are stakeholders that need to be kept satisfied, as they provide the opportunity for The Annexe Community to carry out activities. However, they are not too concerned with how the activities are carried out, rather what they try to achieve. Their main funding agency (the National Lottery) was said to expect efforts to be made to raise awareness about the Annexe Communities.

To incorporate the needs of the board of directors and funding agencies (needing to be in the loop of what projects are ongoing at The Annexe), while focusing on attracting youth to The Annexe, she suggested creating a 1-2 page summary of our project, to have them learn about our project and effort to bring a greater audience to The Annexe Communities.

Encouraging Youth Engagement at The Annexe:

We raised a question of how people in need of help currently find out about events or activities available at The Annexe. Jane mentioned that the information is usually spread through word of mouth and social connections, involving individuals who already know about The Annexe, those who have attended events before, and those who are involved in organising the activities.

As previously highlighted in Day 2’s Dailies, our primary focus is to encourage more youths to visit The Annexe. Jane also expressed her support for this scope and emphasised the importance of inspiring and involving the younger audience in The Annexe’s activities.

Prototype Feedback:

After we presented our prototype to Jane, she was enthusiastic about the overall idea but stressed the importance of considering feasibility and actual implementation.

In specific:
1. She expressed enthusiasm for the speaker’s idea but questioned its feasibility. Practical aspects such as ensuring the durability of the speakers in an outdoor setting, and maintaining audio clarity despite environmental noise need to be considered.
2. The physical treasure hunt may not be feasible. Convincing nearby shops or businesses to allow signs on their property might be challenging, as it could be perceived as endorsing their products or services.

On a positive note, she was particularly keen on the idea of having Geocache at The Annexe itself, rather than at the mural location. She also suggested having origami cranes with personalised notes in the Geocache box, appreciating the meaningful symbolism behind them, whereby 1 crane makes a difference in the context of the 1000 origami cranes legend.

Moving forward, we plan to create a pitch deck to present our ideas to the Dreams and Aspirations group on Tuesday. Jane suggested that this group (participants of one of the Annexe Communities’ activities) could help with implementing our solution and maintaining it. Our focus will be on refining our solution and addressing feasibility concerns to make it a reality.
